Standard terms and conditions of trading  

The following are the terms and conditions under which Avren Events Limited a subsidiary of Clarion Events Ltd (hereinafter referred to as the "Company") accepts orders for training and conferences (including public, private and custom).

1. Booking and Fees:

1.1 Fees quoted are exclusive of VAT, which will be charged at the applicable rate.

1.2  Proposals made by the Company in respect of custom events remain valid for 10 days from the proposal date.

2. Payment:

2.1  Fees for private and public courses and conferences are due for payment 30 days from date of invoice or 7 days prior to the course/conference start date, whichever is sooner.

2.2  For sponsorship and exhibition space payment for each event will be due 60 days prior to the start of the respective event and payment is due within 30 days of the invoice date or 7 days prior to the event whichever is sooner.

2.3 Early Booking discount registrations must be paid for by the early booking deadline for the conference in question 

2.4 The Company reserves the right to refuse entry onto any course/conference for non-payment of fees.  

3. Cancellation:

3.1 Bookings for public and private courses and conferences cancelled up to 10 working days prior to the course date will receive a refund of the course/conference fee, less an administration charge of 10% of the fee

3.2 For bookings cancelled within working 10 days of the course/conference date no refunds will be due.

3.3 Bookings for sponsorship or exhibition stands at conferences cancelled up to 28 working days prior to the event date will receive a refund of the fee, less an administration charge of 10% of the fee.

3.4 For bookings of sponsorship or exhibition stands cancelled within 28 working days of the course/conference date no refunds will be due. 

3.5  When companies have contracted for multiple events, cancellation is only possible 28 working days prior to the start of the first event. In this case a 10% administration charge will be incurred. In the case of cancellation within 28 days of the first event, or at any time thereafter, no refund will be due. Furthermore, the company is required to pay the full amount contracted for the multiple events.

4. Substitution:

4.1  Delegates may be substituted at any time prior to the commencement of any course/conference. These should be advised in writing.  

5. Data Protection:

5.1 The personal information that you provide will be held on a database and may be shared with companies in the Avren Group in the UK and internationally. Sometimes your details may be made available to external companies for marketing purposes. If you do not wish your details to be used for this purpose, or wish to amend your mailing details, please write to:

6. General

6.1 All course notes, diagrams, speaker notes and any other material issued in the delivery of training courses and conferences remain the copyright of Avren Events Limited and may not be reproduced in any form, or by any means, electronic, mechanical, photocopying, recording or otherwise, without prior permission, in writing from the Company.

6.2  The Company reserves the right for reasons beyond its control to change the venue, trainer, speakers, timetable or content of any course/conference. Fees will be refunded in full should a course or conference be cancelled by the Company but no other liability will be accepted.

6.3 The Company accepts no liability in respect of the use of external facilities by delegates attending training/conferences with Avren Events Ltd

6.4 The Company limits any liability to the value of the course/conference place purchased.

6.5 The booking of any course/conference signifies acceptance of these terms and conditions of trading.

6.6 These terms and conditions shall prevail over any conflicting terms or stipulations contained in any document
